Contractors & Vendors Badge Procedures

Georgia Southern University is committed to maintaining a safe, secure, and professional environment for all members of our campus community. To support this mission, Facilities Planning, Design & Construction (FPDC) has established clear procedures for contractors and vendors who perform work on university property.

These guidelines help ensure that all construction, repair, and service activities are conducted in a way that protects students, faculty, staff, and visitors while also preserving the university’s facilities and infrastructure.

Requirements for Contractors & Vendors

  • Advance Notification
    • All contractors and vendors must contact FPDC the day before arriving on campus to perform construction, repairs, or other contracted services. This ensures that staff can prepare for access, confirm project details, and maintain safety compliance.
  • Visitor/Contractor Badges
    • Contractors and vendors are required to obtain a visitor/contractor badge before beginning any work. Badges must be visible at all times while on campus.
  • Department Responsibility
    • Any Georgia Southern department arranging repairs or construction must notify FPDC by email and include all relevant contractor or vendor information. This communication helps track who is working on campus and ensures proper coordination.
  • Badge & Escort Policy
    • Anyone on campus who is not wearing the proper badge or being escorted by a university employee should be reported immediately to FPDC. This safeguard helps maintain accountability and security across all campus facilities.
  • Enforcement
    • Contractors and vendors who do not follow these procedures will be escorted off campus by University Police. Compliance with these guidelines is mandatory.

Why These Guidelines Matter

Georgia Southern’s campuses are home to thousands of students, faculty, staff, and visitors each day. With multiple ongoing construction, renovation, and maintenance projects, strict access protocols are essential to:

  • Maintain safety and security for the campus community.
  • Protect university property, facilities, and infrastructure.
  • Ensure contractors and vendors meet compliance standards set by the University System of Georgia.
  • Minimize disruption to teaching, learning, and student life.
  • Provide accountability and documentation for all on-campus projects.

Working With FPDC

The Facilities Planning, Design & Construction (FPDC) team partners with contractors and vendors to deliver projects that enhance Georgia Southern’s campuses, including renovation, new construction, and infrastructure upgrades. By following these procedures, contractors contribute to a positive working relationship with the university and help maintain a safe, efficient campus environment.
