Zoom is available to all Georgia Southern students, faculty and staff. This tool provides high quality audio and video, sharing capabilities, breakout rooms, and much more. Continue reading to learn more about how you can use Zoom.

Getting Started with Zoom

Zoom provides high-quality audio and video, breakout rooms, whiteboarding tools, and much more. Standard Zoom meetings support up to 300 simultaneous participants. Click the button below to learn how to get started with Zoom.

Zoom can be accessed via MyGeorgiaSouthern. Look for the Zoom link in the in the Events & Planning tile in your MyGS portal. Follow the steps below to begin using Zoom for the first time:

  1. Click the Zoom link in the Events & Planning tile in MyGS.
  2. Click the “Log In” button.
  3. Sign in with your MyGS credentials and begin using Zoom.

You can use Zoom to schedule a one-time or recurring meeting. Follow the steps below to create a Zoom meeting:

  1. Log in to Zoom from your MyGS portal.
  2. From the menu on the left, select “Meetings.”
  3. Click “Schedule a New Meeting.”
  4. Adjust the meeting settings including your meeting topic, meeting frequency, etc.
  5. Adjust any other settings as desired and click “Save.”

To invite attendees to your one-time or recurring meetings, do one of the following:

  • Share the default invitation by using the “Copy the invitation” link after you’ve scheduled the meeting. The information can then be pasted into the body of your Google calendar invite.
  • Share the meeting’s join URL with your participants. To find it, while viewing the settings for your meeting, look immediately to the right of “Invite Attendees.” The join URL will be in the format  https://georgiasouthern.zoom.us/j/1234567.

Note: Hosts may also access their own meetings from the join URL.

Zoom Online Rooms

Zoom is an online meeting tool with microphones, cameras, screen sharing, and a whole lot more that can create an opportunity for active learning with real time conversations. Many of the teaching practices that you utilize in a face to face physical classroom setting can be tweaked and used in a Zoom meeting.

Zoom Online Rooms is the the Zoom integration with Folio that allows you to add a meeting to the course calendar, start/join a meeting from within and view and share cloud recordings.

Special Note: Zoom cloud recordings are auto-deleted after 240 days. You can disable this feature for cloud recordings you need to retain Using our Zoom Recording Access Guide

Securing Your Zoom Meetings

Zoom offers many privacy features that help prevent “Zoombombing” and allow users to engage in secure, private meetings. Click the button below to learn how to secure your Zoom meetings.

Zoom Checklist

Keeping your Zoom class sessions private and secure is a top priority. To prevent uninvited guests from attending your Zoom class meetings and adding unwanted disruptions or capturing shared screen content, we recommend utilizing the practices in the checklist below.

Use the pre-meeting settings below to apply security settings to all of your meetings.

Require Sign-In

When you are scheduling a Zoom meeting, make sure to enable the Only Authenticated Users Can Join setting under Meeting Options. Once this has been enabled, you will have the opportunity to choose one of the following authentication options when scheduling meetings:

1. Georgia Southern Participants Only
2. Zoom Signed-in Users (No Guest Access)

We recommend enabling the Georgia Southern Participants Only option unless you intend to have guest speakers, visitors, or individuals from other institutions joining your meeting.

Enable Waiting Room

This feature provides a virtual waiting room for your attendees and allows you to admit individual meeting participants at your discretion. As meeting attendees arrive, zoom will notify you and provide you with a list of those in the meeting and those still in the waiting room. You have total control of who joins your meeting. Require a Meeting Password

Passwords are required by default for every meeting instance. This is done to enforce password security for every meeting. It is one of the most important security measures that you can take. Be sure not to disable this setting.

The settings below can be used during your Zoom engagements to ensure security and privacy.

Lock Your Meeting

Once all of your attendees have arrived, you can easily lock your meeting from the security menu, preventing any additional attendees from joining.

Limit Screen Sharing

Screen sharing is a great way to collaborate in Zoom. It can, however, be a source of distraction and interruption. It’s a best practice as well as a good security measure to turn off screen sharing, except for those that have explicit permission to do so.

Disable Private Chat

In-meeting chat is another tool for collaboration. But in some circumstances, private chat going on out of the view of the host can be very disruptive. To reduce the temptation for participants to cause such a disruption, it’s a good practice to disable private chat between participants. You can re-enable it to allow interaction at the appropriate time.

Remove Participants

Following all of the best security practices for Zoom meetings should yield a meeting experience without unwanted guests and unwanted interruptions. But sometimes it becomes necessary to remove a participant from your meeting. The host may remove a participant by locating the person in the participants list, right-click on that person’s name, and choose “remove.” Often, you will not want that participant to rejoin your meeting. Zoom allows you to make that selection.

Take the following steps following a Zoom meeting where you may have experienced suspicious activity.

Report Zoombombing

If you experience Zoombombing, it’s important to report this activity so that future disruptions can be prevented. The quickest way to do this is through a MyHelp ticket.

Disable Auto-Deletion if Needed

Zoom cloud recordings are set to auto-delete after 240 days. For those recordings you need to retain, you can disable this feature using our Zoom Recording Access Guide.

Make the Most of Your Zoom Meetings

Zoom at offers several features and options that can help you optimize and maintain the integrity of your Zoom meeting or webinar. Keep reading to learn more about your options for facilitating Zoom meetings. For more privacy options and to help prevent the practice known as “Zoombombing,” check out our Advanced Options.

Zoom allows you to display an image or video as your background during a Zoom meeting. Georgia Southern offers its own branded background collection with different virtual backgrounds to choose from. To change your virtual background, follow these steps:

  1. In a Zoom meeting, click the ^ arrow next to “Start/Stop Video.”
  2. Click “Choose a Virtual Background…”
  3. Click on an image to select the desired virtual background or add your own image by clicking + and choosing if you want to upload an image or video.

To share media such as documents, images, web browsers, and PowerPoint presentations as part of a Zoom meeting, use Zoom’s screen sharing feature following the steps below:

  1. Click the Share Screen icon (↑) located in your meeting controls.
  2. Select the screen you want to share.
  3. Click “Share.”

Depending on the size of your meeting, it may be difficult to both run your session and moderate your participants. One or more co-hosts can help with these responsibilities while you conduct your meeting. For details about what co-hosts can and cannot do, view the detailed instructions below.

To promote a participant to co-host:

  1. In the Zoom meeting window, click “Manage Participants.” A tab called “Participants” should appear on the right.
  2. Hover over the name of the desired co-host and select “More.”
  3. Click “Make Co-Host.”

Prior to a meeting, you can configure your meeting room so that every participant’s audio feed is disabled when first joining. However, unless you have manually disabled the user’s audio feed, these participants can enable their audio feed once they’ve joined. To do this:

  1. Log into Zoom via the MyGS portal.
  2. Click “Meetings.”
  3. Click the name of the desired meeting.
  4. Click “Edit this meeting.”
  5. Check “Mute all participants upon entry.”
  6. Click “Save.”

You can configure your meeting room so that every participant’s video feed is disabled when first joining. However, unless you have manually disabled the user’s video feed, these participants can enable their video feed once they’ve joined. To do this:

  1. Log into Zoom via the MyGS portal.
  2. Click the name of the desired meeting.
  3. Click “Edit this meeting.”
  4. Scroll to the “Video” section. To the right of “Participant,” click “off.”

Web Conferencing

Web conferencing is a powerful tool for collaborating across Georgia Southern’s Statesboro, Armstrong, and Liberty campuses. By allowing colleagues on multiple campuses to participate in meetings, web conferencing brings us closer regardless of our physical locations.

Zoom is Georgia Southern’s multi-functional desktop Video/Audio Conference call application. It allows faculty and staff to meet with anyone, anywhere, in real time from office or home. With crisp, clear video and audio as well as white boarding and screen sharing capabilities, Zoom brings a new level of engagement to virtual meetings.

For groups who wish to participate in web conferences, technology enhanced locations are available as a resource. The table below lists the locations and is updated as changes are made:
