Information for Presenters

SoTL COMMONS Poster & Room Presentation Guidelines

Each breakout room will be equipped with a projector, screen, speakers, HDMI cables, and a clicker. Presenters will need to bring their own computer, presentation, and any additional adaptors. WiFi will be available.

  • The recommended poster size is not to exceed 36”x 48”.
The use of separate pages with typewritten, handwritten, or PowerPoint slides as a poster is unacceptable. Presentations in these formats will be removed.
  • It is recommended that you hand-carry your poster to the conference using tubular packaging or a portfolio case. The authors will be responsible for the costs associated with creating and shipping the poster display.
  • Please include the presentation title, author and coauthor names, and institutional affiliation on the poster. Please edit and spell-check your work: Ask a friend—a new set of eyes is more likely to catch errors.
  • Place your QR code with contact information on the poster for attendees wanting further information. Leave plenty of white space around it.
Use any QR code generator application, such as QR Code Generator to create a QR Code. Enter your name, institution, and contact information. Save the QR code as a .jpg image to download and share, or add to your presentation. Learn more about QR codes.
  • Posters should be readable from about 6 feet away. Learn more about creating a scientific poster presentation.
  • A foam board (for mounting the poster), an easel, and push-pins will be provided to you. Poster displays will be limited to one side of a 36”x 48” foam board.
  • Refer to the final conference program for the time and location of your poster session.
  • Poster set-up: Please arrive 15 minutes prior to the beginning of the poster session. Choose any foam board to attach your poster.
  • Poster session: All posters should be set up for the duration of the poster session. The designated poster presenter (author or coauthor) must be present next to the poster during the designated time to discuss the work presented.
  • After the poster session: After the close of the poster session, please remove your poster. If you are unable to retrieve your poster at this time, please make arrangements to have your poster picked up. Any posters left at the end of the day will be discarded.
